Substitutes:

  • When a teacher is out on FMLA leave, do we report the teacher, the long term sub, or both?  It seems odd to report two people for one assignment.
    • You only need to report the long-term sub if you report the substitute as the entire FTE.  If you know the person out on FMLA will be returning, then you could report both people and divide up the FTE accordingly.  For example, if the long term sub will be there for three months, then report the FTE for the three months. Also include the person who will be returning for the balance of the time and their FTE for the other months.  We want to make sure the staff to pupil ratios are accurate.  You would not want to report both staff members at 100 percent FTE for one teaching assignment.

  • If we assume that the FMLA employee is returning, split the FTE, and report out the returning FMLA employee's salary for the semester of his/her return,  what if he/she does not return?   

    • If you are unsure that this person is going to return, then just report the long-term sub at 100 percent FTE and that salary for the year.

  • How do you recommend that we estimate FTE for short-term substitutes?

    • Short term subs: 43-0000, assignment type of  2, no need to report FTE for this position.


Coaches/Athletics:

  • Would the FTE for cafeteria workers  be based on the number of school days in the school year  vs  year round employees at 2080 hours? I see the recommendation for coaches is hours worked / 2080.

    • Yes, use the calculation: Hours worked/2080.

  • If our teachers are also coaches for after-school athletics, do we report them as both with more than 1.0 FTE (1.0 teacher + FTE for coaching assignment)?

    • You would report both assignments.  FTE can go up to 150 percent, so report the 1.0 teacher and add the additional assignments for the FTE above the 100 percent.

  • With regard to the teacher who coaches and advises, what if the activity is in fall and another in spring?  

    • Remember, you’re calculating for the entire year, so add the hours for the fall and the spring and divide it by 2080 (total possible hours worked).

  • If I have a teacher who’s an athletic coach for three different sports during the year, will the DPI program consolidate the three assignments to one assignment and calculate FTE, display three assignments, or kick out a duplicate assignment error where districts would have to manually calculate and enter athletic coaches?

    • It will kick out duplicates only if they are reported at the same school. That is the lowest level of detail.  One assignment line by school is needed. One row must be per person per working agency per school per assignment code.

  • For ticket takers, announcers, and supervisors, do we need to report FTE? If so, can you give guidance?

    • If you use 98-9097, then FTE is not required because 98-9097 is an assignment with an assignment type of two.
