Subject: WISEstaff Attention Needed - Missing Entity IDs for Staff Requiring a License

Hello,

We want to thank you for all your efforts during the recently concluded 2020-2021 WISEstaff Data Collection. DPI is preparing to run the final licensing audit for this year, and we are writing to ensure your agency can fulfill its state requirement to have all staff who held a licensed assignment for this year included in the annual licensing audit.

We noticed your agency has one or more staff who are reported with an assignment which requires a DPI license but do not have an Entity ID in their WISEid record.  This information is current as of April 14, 2021.  While you may have previously acknowledged the Missing Entity ID warning, it is important to work to obtain Entity IDs for all staff who hold licensed assignments so that DPI’s Teacher Licensing team (TEPDL) has the most accurate assignment and licensing data with which to perform their final licensing audit. 

The deadline for adding Entity IDs to WISEid records is May 1, 2021. 

To review your staff who are missing Entity IDs:
 

  1. In WISEstaff, navigate to the Home menu and select Data Quality Dashboard.
     
  2. Find the Missing Entity ID widget on the upper left of the page; click the widget to open a list of all staff in licensed assignments without an Entity ID in their WISEid record.
     
  3. Once you have the Entity ID, add it to the staff member’s WISEid record using the Edit button in the Educator License ID section.  You can also search for an Entity ID by staff name on the Edit Entity ID pop-up.  A change request will be created that will be automatically approved if there is only one exact match for the name and birth date between WISEid and ELO.  If they are not an exact match or if there is more than one match, adding comments to the change request (Message Center menu / Change Requests link) will help DPI’s Customer Services Team process the change more easily.
     
  4. If the staff’s birth date or name do not match between WISEid and ELO, the incorrect date and/or name must be corrected before the Entity ID can be assigned.  If the WISEid has the incorrect birth date, you can edit that record and create a change request for DPI to approve.  Add comments to the change request indicating why the birth date is changing or what documentation was used to verify it.  If ELO is incorrect, the educator must contact Licensing through the DPI Contact form: https://dpi.wi.gov/support/contact-educator-licensing  to resolve the issue.


Note: An Entity ID is issued to a license applicant as soon as their application is submitted. Even if their application has not been fully processed or approved, they will have an Entity ID number that should be entered into their WISEid record.
