Resolving WISEdata Enrollment Reporting Issues:
Accessing Updated Credentials from Ed-Fi Credential Application
Dear Customers,
The Customer Services Team is here to provide steps to assist with connectivity issues commonly occurring between the Ed-Fi Credential application, SIS vendor tools, and WISEdata Portal. Your school is currently not submitting enrollment data for the 2023-24 school year. This may be caused from discrepancies in your school’s vendor subscription within the Ed-Fi Credential application. Please read the following to verify information about your school’s Ed-Fi Credential’s key, secret and URL.
Please keep in mind, as an LEA you may be able to update your WISEdata API credentials, depending on your vendor. However, some vendors will manage the Ed-Fi API subscription information for the LEA. Contact your vendor to ensure the following suggested steps are taken according to best practice for your SIS.
A very handy resource to help you through this process is the Ed-Fi Credential Application Mini-Tutorial.
Credentials Required for Ed-Fi API Connectivity
The following information needed to ensure your vendor subscriptions work as expected can all be found in the Ed-Fi Credential application, on the ‘Vendor Subscription’ page:
Key and Secret – The Key and Secret are the credentials that allow your SIS to send and receive data through the Ed-Fi API.
MAKE SURE you paste the Key in the Key field and the Secret in the Secret field.
Ed-Fi URLs (New for 23/24 SY) – The URL updates with each latest version of the Ed-Fi Credential application.
School ID/LEA ID – These multi-digit codes exist for each individual school in the School Directory, allowing school enrollments to be associated with this school. Your School ID connects your enrollments and all associated data to WISEdata Portal (by way of the Ed-Fi API).
If at any time you are struggling with connection to WISEdata, please contact your vendor. Your vendor has access to your credentials and can show you where the information is supposed to be entered. Each SIS vendor tool may label data element fields (i.e., Key and Secret) differently than as they appear in Ed-Fi Credential.
Follow the six steps below on pages 2 – 5 to obtain the required credentials from the Ed-Fi Credential application:
NOTE: You will need a WAMS ID to log in to WISEhome and access WISE applications. If you do not have a WAMS ID, you can visit the DPI webpage, ‘Creating Your Wisconsin Access Management System (WAMS) Account,’ to learn how to do this. If you are already feeling overwhelmed, you can submit a Help Ticket, and a friendly Customer Services Team member will support you.
Step 1: Log in to WISEhome. Visit the WISEhome and WISEsecure Login Information page as a reference, if needed.
Step 2: Click Ed-Fi Credential from your WISEhome landing screen.
Step 3: The Ed-Fi home screen will display the Vendor Subscription screen:
The Vendor Subscription screen will display, from top to bottom (numbers correlate to the screenshot below):
Your listed vendors with Credentials (i.e., Key & Secret)
Ed-Fi URLs for the 2023-24 school year
LEA ID and School ID
Step 4: At the very top of the Ed-Fi application, look for Credentials (screenshot section A). Choice schools will only have one SIS vendor, but public LEAs may have multiple vendors (Special Ed, HR, etc.). Key and Secret are clearly labeled. Carefully copy these credentials and enter them into your SIS vendor tool. Make sure you know exactly where to paste this data. If you are unsure, check with your SIS vendor support members. In the screenshot you can see the Secret has been ‘hashed.’ A ‘hashed’ Secret means that you are successfully linked between the SIS and the WISEdata API, however you still need to check the URLs.
NOTE: These credentials are sensitive information and must be kept secure – emails are NOT secure. Do not email your Key and Secret.
Step 5: Ed-Fi URLs change with each latest version of the software, so for the 2023-24 school year, because we are using an updated version of Ed-Fi this year, there are new URLs. You need to update these URLs in your SIS. This may very likely be the reason your data was showing up in WISEdata Portal for the 2022-23 school year, but NOT for the current 2023-24 school year, regardless of the correctness of your Key and Secret.
NOTE: Location of URLs are visible in section B of the screenshot on page 3 of this document.
Here are the URLs that need to be updated. Copy these URLS from the Ed-Fi Credential application and paste them into your SIS, the same way you did with your Key and Secret:
Step 6: Verify your data flow by logging in to WISEdata Portal. These changes are real-time, within a few minutes. Check the Data Pipeline status from the Agency tab, Home screen in WISEdata Portal. Scroll down to the WISEdata section, in the Vendor/WISEdata Communication Status.
NOTE: The “Include API Read (GET) transactions” option can be checked or unchecked.
When this box is checked, ‘read’ (GET) transactions will be included in ‘Last API Transaction Received’ date and time, error calculation (determining red or green icon under vendor name) and in drill-down statistics (e.g., total transactions and detail).
This is unchecked by default since most users want to know if errors occurred when they attempted to create, update, or delete a record.
If you see a date/time stamp for the current school year, this means data is flowing.
If you see the phrase, “No data received,” this means something is still incorrect. Try refreshing your webpage. If no data received message persists, open a Help Ticket.
If you still need help, feel free to reach out to your vendor support members, and you may also can submit a Help Ticket, and a friendly Customer Services Team member will support you.
Remember, all of this content is also visible to your vendors.
Yours Truly,
~ The DPI Customer Services Team
